In your BoothMaven web portal, navigate to Settings → Integrations → Zapier. Copy your API key — this is all Zapier needs to connect.
Search for BoothMaven in Zapier. Choose a trigger event, authorise the connection with your API key, then pick your action — Slack, Marketo, Google Sheets, or any of 5,000+ apps.
Use the Zapier test function to fire a sample trigger. Verify the action landed in your target app. Switch the Zap on. It runs automatically at every event from this point forward.
A free Zapier account is sufficient for single-step Zaps — for example, sending a Slack message when a lead scores above 80. Multi-step Zaps (e.g. filter by score, then post to Slack AND create an Asana task) require a paid Zapier plan. BoothMaven does not charge additionally for Zapier usage — it is included in your Growth or Enterprise plan.
BoothMaven fires the trigger payload within 2–5 seconds of the scan event. Zapier's processing typically adds another 10–60 seconds depending on your Zapier plan tier (paid Zapier plans process faster than free). In practice, a hot lead badge scan at Dreamforce results in a Slack notification appearing within 60 seconds of the physical scan — well within the time the visitor is still at the booth.
Zapier and the native HubSpot/Salesforce integrations run in parallel — they are not alternatives. The native CRM sync handles contact creation and field mapping to your CRM. Zapier handles everything else: Slack notifications, task creation, Google Sheets logging, and any other tool that isn't HubSpot or Salesforce. Most Growth and Enterprise customers run both simultaneously at every trade show, conference, and event.
The webhook payload varies by trigger type but always includes: the trigger event name, a timestamp, the event context (event name, booth number), and the full contact object (name, email, company, title, lead score, qualifying question answers as key-value pairs). The Meeting Completed trigger additionally includes the outcome and meeting notes. The Content Signal trigger includes the content item name, delivery channel, and view duration where available. BoothMaven's offline mode stores all scans locally when there's no connectivity — at convention centres, exhibition halls, and outdoor events with poor WiFi. When connectivity is restored, contacts sync to the server and trigger events fire in order. Webhook and Zapier triggers are queued during offline periods and dispatched automatically when the device reconnects. No scans are lost and no triggers are dropped — the queue is persistent on-device.
